Streaming Media Request Procedure
  1. A faculty or staff member submits a streaming media request form. All fields are required and accurate contact information is needed for the Project Support Lead, End User, and Video Encoder.

  2. The request is emailed to the IRT Network Services for processing. A copy of the request is also emailed to the contact people in the request form for their records.

  3. Network Services staff review the request to ensure all contact information, course or program information, copyright information, and usages of the files is submitted accurately. If information is NOT accurate, then the request is placed in a pending state and the Project Support Lead is notified of the issues and what needs to be resolved.

  4. Network Services also spot checks the streaming files to ensure the files were encoded/created using the streaming media publishing requirements. If the publishing requirements are not met, then the request is placed in a pending state and the Project Support Lead is notified of the issues and what needs to be resolved.

  5. Network Service replies to initial email informing the Project Support Lead the request has been received and give a timeframe when to expect the playback files or URL.

  6. Network Services sets up a streaming media folder for the files and creates the necessary playback files.

  7. Network Services then replies to the initial email request notifying everyone the streaming request has been completed.

  8. Network Services will send the playback URLs or files to the Project Support Lead and the End User.

  9. After an accurate work request form has been submitted with the properly encoded files, expect playback URLs or files within 2 work days.

Note on playback files and URLs:

  • If “Blackboard” is chosen as where the streaming media files will be used, then the playback URLs will be sent.

  • If “Web Site” is chosen as where the streaming media files will be used, then the playback URLs will be sent.
